A clearer handoff from HVAC enquiry to dispatch

Map the information your office needs before a routine service request becomes a visit.

Start with one ordinary request

Take a routine maintenance enquiry and follow it through the tools your team already uses. Note where someone copies a detail, waits for confirmation or asks the customer the same question again. Map the current process before choosing which step to automate.

Agree what makes a request ready

A form submission is a request, not a confirmed appointment. Define the minimum information your coordinator needs, and make the next owner visible.

  • Customer contact, property address and service requested.
  • Preferred window, access notes and relevant existing job reference.
  • Service-area check, availability check and the person who confirms the visit.

Make the handoff testable

Build a draft job record from the request. Have the coordinator review it before assignment. Check that a corrected address reaches the field team, that an updated window does not leave a stale appointment behind, and that submitting the same request twice does not silently create two visits.

  • A named coordinator owns unreviewed requests.
  • The team can distinguish requested and confirmed visit times.
  • The technician receives the reviewed context and latest notes.
  • Corrections and failed transfers have a visible next action.

Plan for exceptions

Missing address, no available slot or an unfamiliar request should stay with a named person. Keep urgent and safety-related requests on the business’s established escalation route; this routine-workflow example is not emergency triage.

What to measure

Track time from enquiry to coordinator review, missing-detail requests and repeated entry. Compare similar types of jobs before and after the pilot; do not attribute every change to automation.
